CANCELLATION AND REFUND POLICY

CANCELLATIONS

Cancellation of Ground Services [non Hotel and non Resort and non Airline] Reservations:

48h to event day: 100 % charge for general event management service.
Hotel condition – all payment made to hotel are non-refundable.

Any late amendments to a confirmed booking may be added a fee imposed by SAM INSPIRE where applicable and subject to specific circumstance.

If the event is cancelled by SAM INSPIRE then all money paid by the customers shall be promptly refunded.

2. GENERAL CANCELLATION

In addition to the conditions listed in clause 1/above, further Cancellation Fees may be levied by SAM INSPIRE in situations where charges arise from other contractors. Charges may be levied at the sole discretion of SAM INSPIRE when cancellations occur within thirty days of the commencement of the Event’s operation.

Transportation companies, hotel, restaurants, off-site venues, entertainers, audio visual suppliers and food and beverage contractors do charge cancellation fees. If cancellation fees are billed by suppliers, they will be included on the final Invoice. SAM INSPIRE is not responsible for charges irrespective of occurrence or circumstance.

Cancellation charges are only passed on by SAM INSPIRE in the event of receiving such charges by suppliers.

However, SAM INSPIRE is responsible for all cancellation charges should SAM INSPIRE be the one cancelling the event.

3. CANCELLATION DUE TO WHO or NATIONAL GOVERNMENT TRAVEL ADVISORIES

SAM INSPIRE will, to the best of its ability, negotiate Cancellation terms and conditions with its various suppliers and contractors utilised for this Event that take due notice of ‘no travel’ Travel Advisories that may be issued by the World Health Organisation [WHO] and / or the national Government of the legal domicile of the Customer. These may not always be possible.

Suppliers and sub-contractors which are able to comply with ‘no travel’ Travel Advisories and alter and or waive their Cancellation Conditions accordingly, are noted below:

[all other suppliers are not able to grant cancellation immunity for WHO and / or national Government Travel Advisories]

If the World Health Organisation [WHO] and / or the national Governemnt of the country of legal domicle of the CUSTOMER issues a travel advisory that explicitly advises its citizens not to travel to the venue country of the Event included in this POLICY and advises its citizens currently in the in country of the Event to immediately evacuate, then SAM INSPIRE will:

immediately notify all suppliers of the World Travel Organisation [WTO] and / or the national Government’s Travel Advisory that its citizens must not travel to the country of the Venue of the Eevnt and that all citizens currrently in the venue country of the Event must evacuate.
request of its its various suppliers and contactors the waiving of its Cancellation conditions.
waive its own internal Cancellation conditions and less any third party/supplier deposits already paid which the supplier refuses to refund] and refund any outstanding monies to the CUSTOMER.
